Privacy policy

1. Scope

This policy applies to the spellintel.com website and to Spell Intelligence, Spell Solutions' data platform, when it is used through a Spell product or the Spell Intelligence application. A customer's service agreement may add privacy, security and confidentiality terms; where it does, the agreement governs.

2. Information we collect on this website

• Contact information such as name, email address, phone number and company details when you request a demo or write to us.
• Message content and project details you provide in an inquiry.
• Basic technical data such as browser type, device information and usage events, used for security and to measure performance.
• Cookies or similar technologies needed to keep the site working and measure performance.

3. Information processed in Spell Intelligence

Spell Intelligence computes reports from the data a customer already holds in Spell CRM Pro, Spell ERP Pro and the integrated Spell products. That data is processed on the customer's behalf and under the customer's agreement; Spell Solutions acts as its processor. The charts on this website are computed from fictional demonstration companies and contain no customer data.

• Product data reaches Spell Intelligence as a snapshot export of an agreed set of analytics tables, or as an event stream. Only the tables and fields named in the product's contract are exported.
• Events are filtered for consent before they are stored. No IP address or user agent is read from an event, and a product's own user identifier never reaches storage.
• Every dataset carries its tenant. Reports are scoped to one tenant and one published build, and a build that references another tenant's rows is refused.
• Personal data appears in a report only as the approved display fields of the product concerned; people, accounts and pipeline stages are otherwise shown as identifiers.

4. How we use information

• To respond to inquiries and provide requested information.
• To schedule demonstrations and coordinate service delivery.
• To operate Spell Intelligence for the customers who use it: computing, publishing and serving their reports.
• To keep the platform secure, prevent abuse and troubleshoot issues.
• To comply with legal obligations where applicable.

5. Legal basis

We process information on the basis of legitimate business interests, your consent where it is required, and the performance of a contract or a request you have made. Where consent is the basis, you can withdraw it by contacting us.

6. Sharing and disclosures

We do not sell personal data. Customer data in Spell Intelligence is never shared between customers and is excluded from any cross-customer benchmark. We may share limited information with service providers that support our operations, such as cloud hosting, email delivery and security tooling, and we may disclose information when required by law or to protect our rights and systems.

7. Hosting and safeguards

Spell Intelligence runs on Amazon Web Services in the United States (US East). Data is encrypted in transit and at rest; raw exports are immutable and can be deleted only through a controlled erasure process; access to the underlying infrastructure is limited to a single operator. Health-related financial data, where a customer's agreement covers it, is processed only on services that are HIPAA-eligible under an AWS Business Associate Addendum.

8. Cookies and analytics

This website uses Google Analytics to understand which pages are useful. Analytics cookies are set only after you accept them in the banner shown on your first visit; declining keeps the site fully usable and sends no analytics identifiers. No advertising cookies are used. You can change your choice by clearing the site's data in your browser.

9. Data retention

Website inquiry data is kept only as long as needed for the purposes above. Customer data in Spell Intelligence is retained for the term set in the customer's agreement; product deletions arrive as tombstones and are applied through the erasure process, and superseded builds are retained for the period agreed with the customer.

10. Security

We use administrative, technical and organizational measures appropriate to the data we hold. No method of transmission or storage is fully secure, but we reduce risk through current security practice and continuous monitoring.

11. International considerations

If you access the site from outside the United States, your information may be processed in the jurisdictions where we or our service providers operate. We use reputable providers and appropriate safeguards.

12. Your choices

• You can request access to, correction of, or deletion of information we hold about you, subject to legal and operational limits.
• You can ask us to stop using your information for specific communications.
• You can manage cookies through your browser settings.
• Requests concerning data held in a Spell product on a customer's behalf are directed to that customer, and we assist them in meeting it.

13. Children

This site and Spell Intelligence are intended for business use and are not directed to children. We do not knowingly collect personal information from children.

14. Updates to this policy

We may update this policy from time to time. Changes are posted on this page with an updated date.
